Gemini baked into Gmail, Docs, and Meet, no add-on
Google Workspace with Gemini

The natural AI layer for Google-native teams: Gemini is baked into Gmail, Docs, Sheets, and Meet at $14/user/mo on Business Standard, with no add-on to manage. The catch is it's all-or-nothing per plan (everyone pays for AI), and the deepest features need Enterprise.
The best-value AI subscription if your team already runs on Google Workspace. Rather than bolting on a separate tool, Gemini lives inside Gmail, Docs, Sheets, Slides, and Meet, drafting and summarizing email, refining documents, analyzing spreadsheets, building decks, and taking meeting notes, with a low-friction rollout that barely changes anyone's habits. At $14 per user on Business Standard it undercuts most standalone AI tools, and Google contractually keeps your prompts out of model training. The honest catch is the bundling: AI comes per plan, so everyone on a qualifying tier pays for Gemini whether they use it or not, and the 2025 price bump means it isn't truly free for long-time customers. For Google-first teams, it's the easy, affordable pick.

What we like
- ✓Gemini is built into the apps your team already uses — Gmail, Docs, Sheets, Slides, Meet, and Chat — with no separate add-on to manage
- ✓Strong value for Google-native teams: a Business Standard seat is $14/user/mo including AI, well under most standalone AI tools
- ✓Workspace Studio brings no-code AI automation to non-developers, included in most plans
- ✓Clear data-privacy stance: prompts and outputs are not used to train models outside your domain and are not sold or used for ads
- ✓Meeting notes, side-panel assistance, and Help me write work reliably across the suite for everyday tasks
Trade-offs
- −One-size-fits-all on each plan — you cannot give AI to only the users who need it; everyone on a Business Standard or higher plan pays for Gemini whether they use it or not
- −The 2025 bundling came with a 17–22% Workspace price increase, so AI is not truly free if you were a pre-2025 customer
- −Gemini on the cheapest Business Starter tier is heavily limited compared to Standard and above
- −In-app document summaries read only the active file — Gemini will not pull context from linked Drive files or external URLs
- −The most capable features (longer context, standalone Gemini Advanced, NotebookLM Enterprise) sit behind Enterprise pricing or separate purchases
Best for
Teams already running on Google Workspace who want AI inside the tools they use daily — drafting and summarizing email in Gmail, writing and refining in Docs, organizing and analyzing data in Sheets, building decks in Slides, and getting note-taking and recaps in Meet — with low-friction rollout and minimal change to existing habits.
Avoid if
Your team runs primarily on Microsoft Office or other non-Google tools, you need the deepest possible reasoning on long technical documents, or you want a standalone research assistant rather than AI woven into Gmail, Docs, Sheets, Slides, and Meet.

How we know
High confidenceLast checkedGoogle Workspace with Gemini reflects a major 2025 restructuring: Google discontinued the standalone Gemini for Workspace add-on (which had cost $20-30/user/month) and folded Gemini directly into Business and Enterprise plans, raising base prices roughly 17-22% to match. As of 2026, a Business Standard seat is $14/user/month (up from $12 pre-Gemini) and includes Gemini across Gmail, Docs, Sheets, Slides, Meet, Chat, Drive, and the Vids video app; Business Plus is $22 and Business Starter is around $8.40 with more limited AI (mainly Gmail assistance and capped daily prompts). Business plans cap at 300 users; Enterprise is custom-quoted with no user limit and adds longer context, the standalone Gemini Advanced app, and enterprise data protection. Newer additions include Workspace Studio, a no-code agentic automation builder included in most plans, and an optional AI Expanded Access add-on (from March 2026) that raises limits for image generation, Veo video, deeper reasoning, and NotebookLM. Google's data stance is clear: prompts and outputs are not used to train Gemini outside the customer's domain, are not sold, and are not used for ad targeting. The main trade-off is the all-or-nothing model: because AI is bundled per plan, every user on a qualifying tier is paid for whether they use Gemini or not, which independent analysts flag as the primary cost risk for teams with mixed roles. For organizations already standardized on Google Workspace, the bundled pricing is strong value; teams wanting to scope AI to a subset of users have less flexibility than with a per-seat add-on.
